Annual Calendar

CCW Organization Notebook provided by the Joliet Diocesan CCW

Among the many Publications (Event Programs, Posters/flyers, Member Handbooks, etc.) printed by Parish      Councils of Catholic Women, one of the most common - possibly THE most common - is an Annual Calendar.  For many councils, this is one of the essentials tools for the success of their council programs/events.

Today, in our busy parishes, it is often necessary to reserve many months in advance for needed spaces: the church for special Masses and liturgies; large or small meeting rooms for expected large or small attendance; a large hall for fund-raisers; even off-site locations.  Since you have to do all this advance planning, why not turn it into an asset and publish an annual calendar?

The distribution method of your calendar may determine its format.  If you plan to have it printed as a page in your parish’s weekly bulletin, you may be limited to dates, times, and a brief title of the planned program; be sure to include a contact number for individuals to request further information. There are advantages to such a one-page annual calendar: they are ideal for posting on bulletin boards in members’ homes (even the refrigerator!), and in various locations on the church campus.  If your parish allows organizations put insertions in the bulletin, you could expand this to a tri-fold* which could include a listing of your board members, and more. On the other hand, if you plan to hand distribute it after Masses one weekend, at a “Welcome” event, or a Ministry Fair, you could print a multi-page booklet giving more elaborate descriptions of your programs/services/events, explanations of your commissions/ministries/service projects, even background on your council.  (I have samples of all of these if you would like to contact me: Marianne McKeague: 630-834-2183 or mariannemck@sbcglobal.net).

Your Parish CCW’s Calendar can be a real marketing tool; you will want it to be as attractive as possible; let your creativity shine! In any case, plan to print extras to have on hand at meetings/events to give to attendees/new members.

Once you have your calendar in place, present a pristine copy to your pastor.  Then publish it wherever you can.  See if you can have it posted on a bulletin board in the church narthex or have copies in a publication rack there; if possible, post it near the entry in your school and/or your parish hall, in your parish office, in the religious education office.   Make arrangements to have it added to a page on your parish’s website, if they have one (Of course, if your Parish CCW is fortunate enough to have its own website, the arrangements will be much simpler).  If your parish has an outdoor bulletin board, find out what is needed to have special individual programs/events listed there.

“Many parishes maintain a (parish-wide) calendar even if they don’t publish it, so request that your activities be listed; this may prevent other activities from being scheduled at the same time.”
